Case Study: Replacing Excel Time Sheets with the System We Built for Ourselves (Morning)

Our time sheets, task lists and client follow-ups used to live in different places, so we built Morning to put them in one system: GPS check-in, project boards, client share pages and a CRM.

Short answer: Morning is the system the Codelabs team works in every day. It combines staff check-in, daily tasks, client project boards, marketing content and sales in one place. We built it because we had the same problem many of our clients have: work information scattered across Excel, LINE groups and people’s memory.

The problem

  • Check-ins were typed into Excel or posted in a LINE group, hard to audit and slow to total up for accounting.
  • Each project’s tasks lived somewhere different, so leads had to chase who was stuck on what.
  • Clients asked for progress on LINE every day, and the team kept answering the same question.
  • Quotes and tax invoices were made in another program, disconnected from the actual work.

What we built

Excel time sheets
Part of the system: GPS check-in
How it works: Staff check in from their phone, the location is checked against a set radius, and accounting gets a summary report.
Tasks everywhere
Part of the system: Project boards
How it works: Each project has its own board and member permissions, so it is obvious who holds what.
Clients asking for updates
Part of the system: Client share page
How it works: A link clients can open any time to see progress, without seeing internal team data.
Sales docs elsewhere
Part of the system: Built-in CRM
How it works: Customers, quotes and tax invoices sit in the same system as the work.
Posting content by hand
Part of the system: Content board
How it works: Plan posts ahead and the system publishes them to the Facebook Page automatically.

What changed

  • No more adding up check-ins from Excel; the report comes straight from the system.
  • Morning stand-ups got shorter because everyone already sees the same board.
  • Clients check progress themselves, so repeat questions on LINE dropped.
  • When work is done, sales documents follow immediately without copying data between programs.

Lessons for businesses planning a system like this

Do not start big. We started with the most painful part, check-in, then added boards, share pages and the CRM one at a time. That made the switch easy for the team and avoided a large up-front budget.

Design around how the team really works rather than copying features from off-the-shelf software. Systems that match the way people work get used; systems that force a new way of working are usually abandoned within months.

FAQ

Can GPS check-in stop people checking in from elsewhere?

The location is checked against a set radius and leads are alerted to check-ins outside it. Radius and rules are configurable per company.

Can you build a system like Morning for us?

Yes. We design around how your team works, starting with the most needed part and growing from there.

Does it connect to LINE?

Yes. Notifications go out both in the app and through LINE.
